Create Group Accounts

The Accounts option allows users to create accounts for companies, travel agencies, wholesalers, and travel agency wholesalers. Users can also assign managers and contact persons from the company for an account to communicate with the account.

A property can create an account for companies, travel agencies, and wholesalers who are regular clients with the property. Once created, the accounts will have all the preferences, contacts, and settings preferred by the clients and whenever there is a group or individual booking from these clients, the property can attach the accounts to the bookings and default the required values. The various accounts that can be created are,

  • Company Accounts - accounts created for a company or organization that books business for itself. Users can define tariffs and packages that are applicable for specific company accounts. When the user creates a new reservation for a company account with its own tariff or package, only confidential tariffs and packages assigned to the company account will be shown in the Availability tab of the Create New Reservation screen. Users can also update the manager details on company accounts in bulk using the Export/Import functionality. For information on updating manager details using Export/Import functionality refer to Updating Company Accounts with Manager Details section under the Export/Import heading of the Ext - Agilysys Versa Property Setup Guide.

  • Travel Agency Accounts - accounts created for a company that typically receives a commission for business booked with the property. Versa allows users to attach and track travel agents, the amount of business they bring in, the commissions that they are due, and whether they have been paid those commissions or not.

  • Wholesaler Accounts - accounts created for a company that typically purchases rooms and resells them. Wholesalers then rent their rooms for a cost more than what they were charged for the room. For this reason, it is critical that a guest booked by a wholesaler must not know the general rate information.

The primary difference between a travel agent and a wholesaler is that a travel agent is paid a commission based on the amount of room revenue paid by their guest to the hotel, whereas a wholesaler is paid directly by their guest.

  • Travel Agency Wholesaler Accounts - accounts created for a company that receives commission or resells the rooms.

The procedure for creating accounts is the same for all account types. Perform the following procedures to create an account.
